This is a regular, part-time support staff position that works approximately 1,040 hours per year, Monday through Thursday, 8:30 a.m. to 2:30 p.m. year-round, with flexible or extended hours as needed by the College or department.

Position Summary
Kellogg Community College is seeking a highly organized and professional part-time Department Assistant to support the Counseling Office, which provides essential mental health services to students. This position is critical to maintaining the office's day-to-day operations, including managing calendars, delivering excellent customer service, and assisting with triaging student situations.

The successful candidate will work collaboratively with other departments in the area to serve students and will assist with the daily operations of the Bear Necessities Student Food Pantry. The ability to handle sensitive information with the highest degree of confidentiality and work positively with a diverse student population is essential.
Strong multitasking abilities, attention to detail, and effective communication skills are necessary to help ensure that the Counseling Office remains a supportive and welcoming resource for students.

Physical Demands
The job responsibilities are performed in an office area and presentation venues. Travel by car required. The job has intermittent periods during which continuous physical exertion is required, such as independent mobility between work areas, standing, sitting, stooping, bending, climbing, lifting material or equipment, some of which may be heavy or awkward (8 - 45 pounds). Typically requires regular use of one or more physical senses of medium intensity and long duration. Must meet reasonable deadlines, quotas or demands for accuracy, and may be involved in some mildly unpleasant situations.



Minimum Qualifications

  1. Some post-secondary education from an accredited college or university AND at least one (1+) year of relevant experience; OR two or more (2+) years of relevant experience. At the time of application, attach unofficial transcripts showing successfully completed coursework, if applicable.
  2. Ability to work with MS Office, most especially Word, Excel, and Outlook or similar level applications at an intermediate level.
  3. One (1) year in office setting and working with a diverse population.
  4. Demonstrated ability to work with confidential information.




Preferred but not Required

  1. Associate degree from an accredited college or university.




Proposed Salary
According to the published support staff salary schedule, Classification Pay Grade 12, 2024-2025 hourly wage range, step one $18.09 to step six $23.92. Internal applicants may refer to Article 22, Section 5C.

Job Duties



Essential Function: FRONTLINE FUNCTIONS



Description:
  • Execute key frontline functions of Counseling using various forms of technology including but not limited to Colleague, Titanium, and/or Starfish.
  • Provide general office support as needed for departmental operations.
  • Under the guidance of the faculty counselors, ensure scheduling accuracy.
  • Coordinate meeting planning including note taking and other related scheduling items such as presentations.
  • Respond to queries, assist, analyze, and triage inquiries.
  • Assist with Zen Den operations.
  • Provide administrative support for the Dean of Student Services such as reports, as appropriate.
  • Order and manage office supplies.
  • Retrieve and distribute mail.


Essential Function: INTERDEPARTMENAL COORDINATION



Description:
  • Assist with the resolution of student issues within and across departments; refer complex issues appropriately.
  • Coordinate with the departments located in Student Center - Suite 105 to ensure accurate, timely, effective delivery of services.
  • Provide back-up support for office suite 105 partners including front desk coverage, scheduling, and check-in.


Essential Function: CONFIDENTIAL PROCESSES



Description:
  • Adhere to HIPAA standards and maintain confidentiality at all times.
  • Maintain confidentiality (FERPA Guidelines) of student and personnel information used to fulfill departmental requests and processes.
  • Prepare and maintain highly confidential documents related to counseling services for the department.
  • Prepare purchase orders and check requests as approved by the Dean of Student Services.


Essential Function: STUDENT FOOD PANTRY



Description:
  • Assist with keeping the student food pantry stocked and organized.
  • Provide frontline support to students seeking food pantry assistance.
